Collection Notice



Notification of collection of personal information about Mycharityraffle members and contacts.

The purpose of this Collection Notice is to explain how we collect, use, store and disclose the personal information of Mycharityraffle players and contacts. We use the word member to describe a registered participant in one of our services such as a game or promotion and a contact is a prospective member who may seek and receive information before deciding to join as a member or not.

The terms of this Collection Notice form part of the Terms and Conditions of your Mycharityraffle participation. By registering as a member or contact, or by utilising any member or contact facilities such as contact details, or claiming any member or contact benefit, you acknowledge and agree that we will collect, use, store and disclose your personal information in accordance with the terms of this Notice.

Collection from members or contacts

We collect personal information directly from you when you register to become a member or contact of Mycharityraffle.  This information is collected on our registration forms and includes your name, contact details and date of birth. Some of the information we collect on the registration form is necessary to open a Mycharityraffle membership. If applicants for member or contact registration choose not to provide this required information, we will not be able to register them as a member or contact.

If Mycharityraffle members or contacts do not permit us to collect the personal information needed by us (such as their email address) to send them direct marketing and service-based communications under the Mycharityraffle program, their Mycharityraffle participation may be ended.

We also collect additional information which may be personal in the course of administering your participation. This includes information about your purchase history (such as items purchased, the price of those items, the date of purchase, and the location of the store), and whether you have taken up any of our offers or rewards.

We collect this information when you express interest in us and our promotions or clients, when you accept an invitation to receive entries in a game or receive (and do not reject) a gift of entries. We also collect members’ or contacts’ transaction history or contact particulars from your purchase of entries in previous games offered by Mycharityraffle with its clients which details are matched to your contact details provided to Mycharityraffle. Our systems render payment numbers unreadable (through the use of cryptographic hashing or encryption algorithm) and replace it with a randomised token number, which protects such details from unauthorised access or disclosure.

The collection of this information enables Mycharityraffle to continue to provide players or contacts with personalised and more engaging and relevant offers than they would otherwise receive.

Collection from others

We collect personal information about Mycharityraffle members or contacts from other persons or entities. For example, we collect personal information for marketing purposes from other suppliers of goods or services who, like us, have an existing relationship with Mycharityraffle members or contacts. Such entities include our charity partners, affiliated programs, suppliers of publicly available information and digital services used by Mycharityraffle members or contacts (including social media platforms).

For purposes other than marketing, we collect personal information from persons and entities that assist or partner with us in supplying our goods and services to Mycharityraffle members or contacts, administering and improving the Mycharityraffle program and conducting our business generally. These entities include insurers, providers of publicly available sources of information, delivery service companies, third party data providers and our related bodies corporate.

At times, we combine different sets of data to add to the personal information we hold. An example of this is a history of a member’s or contact’s transactions.

Collection under a law or order

Australian laws may authorise or require the collection of personal information about Mycharityraffle members or contacts. These include taxation laws, anti-money laundering laws and privacy laws. We may also collect personal information about Mycharityraffle members or contacts if we are required or authorised to do so by a court/tribunal order.

Collection purposes

Name and contact details from entrants, the personal information of each entrant, will be collected and used for the purpose of processing and conducting the promotion, which may include disclosure to third parties, the promoter’s related bodies corporate, agencies and contractors (including call centres, advertising agencies and direct mail houses), for direct marketing to you of charity raffle games and related fundraising for any charitable organisation including any charity nominated by you  and for promotional purposes, public statements and advertisements surrounding this promotion.

By entering this promotion entrants consent to the use of their information as described and agree that the promoter may use this information, or disclose it to other organisations that may use it, in any media for future promotional purposes without any further reference or payment to the entrant. For the purposes of public statements and advertisements, the promoter will only publish the winner’s surname, first initial and state of residence.

The promoter is bound by the Australian Privacy Principles contained in the Privacy Act 1988 (Cth).   Entrants may access, change and/or update their personal information by contacting the promoter in writing at privacy@mycharityraffle.com.au

We collect personal information for the primary purposes of registering and administering a member or contact’s interest in one of our games or promotions, to sell and promote products and services to you including those of our charity clients, to offer member or contact benefits, and to improve our customer offerings.

We do this by sending you:

  • direct marketing communications (including emails, or texts); or
  • tailored advertising (including banner advertisements on websites that you visit, and personalised advertisements on social media platforms) about products and services that may interest you.

We also use personal information to conduct product and market research, to seek customer feedback, for business improvement purposes, to keep our records accurate and up-to-date, and to respond to member or contacts’ enquiries and complaints.

Additionally, we anonymise or aggregate the personal information that we collect for the purpose of carrying out customer analytics. This helps us to understand our members’ or contacts’ preferences, interests and behaviours so that we can improve and better administer the Mycharityraffle offerings, and more effectively personalise the experience of our members’ or contacts in promoting our goods and services.

We collect personal information for other purposes which are within Mycharityraffle members’ or contacts’ reasonable expectations or permitted by law.

You can also opt out by using the unsubscribe/ opt out facility in the communication that we send you. Opting-out of some of our communications means that we may not have access to the personal information we need to provide the members’ or contact benefits or Other benefits relevant to those opt-outs.

Disclosure to others

We disclose the personal information we collect about Mycharityraffle members or contacts to other persons and entities.

For example, we disclose personal information to:

  • our service providers (including to our information technology and marketing service providers) to assist us in carrying out our functions and activities;
  • entities affiliated with the Mycharityraffle program, which assist and support us in bringing you member or contact benefits;
  • to our related bodies corporate and to regulators or courts for compliance with the law or otherwise as legally appropriate.

We also disclose aggregated and anonymised information to our trusted partners (including our suppliers) about Mycharityraffle members’ or contacts’ attributes, behaviours and preferences to enable them to market products and services that are likely to interest you based on those attributes, behaviours and preferences. This information is used to send you tailored or targeted advertising and is shared in a way that does not personally identify you. Such advertising may appear on the websites you visit in the form of banner advertisements, and/or on the social media sites you use.

Access and correction

The Mycharityraffle Privacy Policy includes information about how Mycharityraffle members or contacts may access the personal information we hold about them and how they may seek correction of it.

Complaints

Please contact us via the contact details above if you have any complaint or query about how we deal with information.

Overseas recipients

Under secure arrangements we may disclose personal information about Mycharityraffle members or contacts to overseas providers of services. Our privacy policy provides information about the countries in which such recipients are likely to be located.

Changes to this Collection Notice

We may change the terms of this Collection Notice from time to time. A copy of the revised Collection Notice will be available on the Website.
